This Privacy Policy explains how Defense Warroom (“Defense Warroom,” “we,” “us,” or “our”) collects, uses, and protects your personal data when you visit our websites, subscribe to our newsletter, or otherwise interact with us. It applies to defensewarroom.com and to the other properties in the Warroom Media Network.

We are committed to protecting your privacy and to processing your personal data lawfully, fairly, and transparently in accordance with the EU General Data Protection Regulation (GDPR) and applicable national law.

1. Who we are (data controller)

2. What personal data we collect

We collect only the data we need for the purposes described below:

  • Information you give us. Your email address (and, optionally, your name) when you subscribe to our newsletter; the contents of any message you send us by email or through a contact form; and any information you choose to provide when you contact us about advertising, tips, or other matters.
  • Information collected automatically. When you visit our sites, we and our service providers may collect technical data such as your IP address, browser type and settings, device information, operating system, referring pages, the pages you view, and the dates and times of your visits. This is collected through cookies and similar technologies (see Section 6).
  • Advertising and analytics data. Our advertising and analytics providers may collect usage and device data to measure audience and serve advertising, as described in Sections 5 and 7.

We do not intentionally collect special categories of personal data, and we ask that you do not send them to us.

3. How and why we use your data (purposes and legal bases)

Under the GDPR, we must have a legal basis for each processing purpose. Our purposes and bases are:

  • To operate, secure, and maintain our websites — including hosting, load balancing, fraud and abuse prevention, and technical troubleshooting. Legal basis: our legitimate interests in running a secure and functional service.
  • To send you our newsletter and other communications you have requested. Legal basis: your consent, which you may withdraw at any time.
  • To respond to your inquiries and manage our relationship with you, advertisers, and partners. Legal basis: your consent, our legitimate interests, or the performance of a contract, depending on the context.
  • To understand how our sites are used through analytics. Legal basis: your consent, where required for analytics cookies.
  • To display advertising, including through third-party advertising partners. Legal basis: your consent, where required for advertising cookies and similar technologies.
  • To comply with our legal obligations and to establish, exercise, or defend legal claims. Legal basis: compliance with a legal obligation and our legitimate interests.

Where we rely on legitimate interests, we have assessed that those interests are not overridden by your rights and freedoms. You may object to such processing as described in Section 9.

4. Newsletter

If you subscribe to our newsletter, we use your email address to send you the Defense Intel Brief and related updates. Every newsletter includes an unsubscribe link, and you can opt out at any time by using that link or by emailing privacy@defensewarroom.com. We process newsletter data through a third-party email service provider acting on our behalf.

5. Advertising

Our sites are supported by advertising. We work with third-party advertising partners who may use cookies and similar technologies to collect data about your device and browsing activity in order to measure and serve advertising, including on other sites. These partners act as independent controllers or as our processors depending on the service. Where advertising technologies require consent, we request it through our cookie-consent mechanism, and you can manage your choices at any time (see Section 6). We do not sell your personal data for money; certain advertising practices may, however, be treated as “sharing” or “sale” under some U.S. laws — see Section 11.

6. Cookies and similar technologies

We use cookies and similar technologies to make our sites work, to remember your preferences, to measure audience, and to support advertising. Cookies fall into these broad categories:

  • Strictly necessary — required for the site to function and for security; these do not require consent.
  • Preference — remember settings and improve your experience.
  • Analytics — help us understand how the site is used.
  • Advertising — support the delivery and measurement of advertising.

Where required by law, we request your consent for non-essential cookies through a cookie banner when you first visit, and you can change or withdraw your consent at any time via the “Cookie settings” control or your browser settings. Most browsers also let you refuse or delete cookies; doing so may affect how the site works.

7. Who we share your data with

We do not sell your personal data. We share it only as necessary with:

  • Service providers (processors) who host, operate, secure, and support our sites and communications — for example our hosting provider, content-delivery and security provider, analytics provider, email service provider, and advertising partners. These providers process data on our instructions and under contract.
  • Advertising partners, as described in Section 5.
  • Professional advisers, authorities, and third parties where necessary to comply with the law, respond to lawful requests, or protect our rights, users, and the public.
  • A successor entity in the event of a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

8. International data transfers

Some of our service providers are located outside the European Economic Area, including in the United States. Where we transfer personal data outside the EEA, we rely on appropriate safeguards recognized under the GDPR — such as an adequacy decision or the European Commission’s Standard Contractual Clauses — to ensure your data receives an equivalent level of protection. You may contact us for more information about these safeguards.

9. Your rights

Subject to the conditions set out in the GDPR, you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data (“right to be forgotten”);
  • Restrict our processing of your data;
  • Object to processing based on our legitimate interests, and to direct marketing at any time;
  • Data portability — receive your data in a structured, commonly used, machine-readable format;
  • Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.

To exercise any of these rights, email privacy@defensewarroom.com. We will respond within the timeframes required by law. You also have the right to lodge a complaint with a supervisory authority — in Belgium, the Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit, www.dataprotectionauthority.be) — though we would appreciate the chance to address your concerns first.

10. How long we keep your data

We keep personal data only for as long as necessary for the purposes for which it was collected, or as required by law. Newsletter data is retained until you unsubscribe or ask us to delete it. Inquiry correspondence is kept for as long as needed to handle your request and for a reasonable period afterward. Analytics and advertising data are retained according to the retention periods of the relevant providers.

11. Information for U.S. and California residents

If you are a resident of California or another U.S. state with comprehensive privacy legislation, you may have additional rights, including the right to know what personal information we collect and how we use it, the right to access or delete it, the right to correct it, and the right to opt out of the “sale” or “sharing” of personal information (which, under some laws, can include certain advertising practices). We do not sell your personal information for money and we do not knowingly process the personal information of children as described in Section 12. To exercise these rights, or to opt out of targeted advertising where offered, use our cookie-consent controls or contact privacy@defensewarroom.com. We will not discriminate against you for exercising your rights.

12. Children’s privacy

Our sites are intended for a professional adult audience and are not directed to children. We do not knowingly collect personal data from children below the age of digital consent applicable in their country. If you believe a child has provided us with personal data, please contact us and we will delete it.

13. Data security

We take appropriate technical and organizational measures to protect personal data against unauthorized access, loss, misuse, or alteration. These include encryption in transit (HTTPS), access controls, and reputable, security-focused hosting and infrastructure providers. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

14. Third-party links

Our sites contain links to third-party websites and services that we do not control. This Privacy Policy does not apply to those sites, and we encourage you to review their privacy policies.

15. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or the law. We will post the updated version here and revise the “Last updated” date above. Material changes will be communicated where appropriate.
